## Question

What is the performance reporting process?

## Short answer

Performance reporting collects and distributes performance information, including status and forecasts, to stakeholders. Steps: collect work data, analyse with variance and earned value, prepare reports per communication plan, distribute, and use feedback for corrective actions. Outputs include performance reports and change requests.

## Answer

**Performance reporting** is the process of collecting and distributing performance information, including status reports, progress measurements and forecasts, to stakeholders. It tells how resources are being used to achieve the project objectives. In PMBOK it was a process of Communications Management (now part of Monitor and Control Project Work / Manage Communications).

#### Steps in the process
1. **Collect work performance data**: actual start/finish dates, hours, costs, percent complete, defects.
2. **Analyse the data**: compare with the baseline (variance analysis), trend analysis, earned value (CPI, SPI), forecasts (EAC, completion date).
3. **Prepare reports** in the format required by the communication plan.
4. **Distribute** to stakeholders by the planned medium and frequency.
5. **Receive feedback** and decide on corrective actions.
6. **Update** plans, change requests and records.

```text
Work data -> Analysis -> Report -> Stakeholders
     ^                                |
     +------ corrective action <------+
```

#### Types of reports
| Report | Content |
|---|---|
| Status report | Where the project stands now |
| Progress report | Work done in the period |
| Forecast report | Expected cost and completion |
| Variance report | Difference from baseline, causes |
| Earned value report | PV, EV, AC, CPI, SPI |
| Issue/risk report | Open issues and risks |
| Trend report | Pattern over time |

#### Contents of a good report
Accomplishments, planned next steps, schedule and cost status, risks and issues, change requests, and decisions needed.

#### Tools and techniques
Variance analysis, performance review meetings, earned value, forecasting, reporting systems, dashboards (red/amber/green).

#### Outputs
Performance reports, forecasts, change requests, updates to OPA.

#### Importance
Keeps stakeholders informed, supports early corrective action, and builds confidence.

**Example:** A weekly dashboard shows SPI 0.9 and CPI 1.0, and lists a risk from vendor delay, so the sponsor approves overtime to recover the schedule.

The answer's key points as multiple-choice questions, with the correct option and why.

1. What is the correct order of the first steps of performance reporting?
   A. Distribute, collect, analyse, prepare
   B. Analyse, distribute, collect, prepare
   C. Collect data, analyse, prepare reports, distribute
   D. Prepare, collect, distribute, analyse
   Answer: C. Data is collected, analysed against baseline, reported and distributed. (Key point: Steps order)

2. What does a variance report show?
   A. Where the project stands now only
   B. Work done in the period only
   C. Open risks only
   D. The difference from baseline and its causes
   Answer: D. Variance reports show baseline differences and causes. (Key point: Variance report)

3. Which indices are used in analysis of performance data?
   A. CPI and SPI
   B. PV and WBS
   C. RTM and STLC
   D. EMV and RAG
   Answer: A. Earned value uses CPI and SPI. (Key point: Earned value)
