## Question

Describe Group Decision Support Systems (GDSS) for modern organizations. How do they help organizational learning?

## Short answer

GDSS supports groups in identifying problems, generating alternatives and deciding through electronic meeting tools. It helps organizational learning by storing discussions, ideas and decisions as organizational memory, enabling review of past decisions, sharing knowledge, encouraging honest anonymous feedback and building shared mental models.

## Answer

#### Group Decision Support System (GDSS)
A **GDSS** is an interactive computer-based system that supports a group of decision makers in identifying problems, generating and evaluating alternatives, and reaching a decision through electronic meetings, communication and decision tools. It combines hardware, software (group tools) and procedures.

```text
 Participants (PCs)  <--LAN/Internet-->  Server
   |  |  |  |                           (shared data,
 Idea input, vote, rank                  models, records)
        Facilitator / chauffeur
```

Components:
- **Hardware** - networked PCs, large display, meeting room.
- **Software** - brainstorming, idea organisation, voting, ranking, polling, group calendar, document sharing, models.
- **People** - participants and a facilitator.
- **Procedures** - rules of the meeting and decision technique.

Meeting settings: same time and place (decision room), same time and different place (video conference), different time and place (email, forums).

Characteristics: anonymity, parallel input, structured process, automatic record, ease of use.

Benefits for modern organizations: faster meetings, better participation by all, reduced dominance and groupthink, quality decisions, support for geographically spread teams.

#### Help in organizational learning
- Discussions, ideas and decisions are **stored electronically**, becoming an organizational memory.
- Participants **share knowledge** and learn from different views.
- Records allow **review of why decisions were made** and learn from mistakes.
- Anonymous input encourages **honest feedback** and new ideas.
- Repeated use of structured methods builds **common understanding and shared mental models**.

The answer's key points as multiple-choice questions, with the correct option and why.

1. What is a GDSS?
   A. A single-user spreadsheet
   B. A computer-based system supporting a group in identifying problems, generating and evaluating alternatives and deciding
   C. A payroll package
   D. A firewall
   Answer: B. GDSS supports group decisions via electronic meetings and tools. (Key point: GDSS definition)

2. Which are GDSS components?
   A. Only server
   B. Only a chat app
   C. Hardware, software, people and procedures
   D. Only the facilitator
   Answer: C. GDSS combines technology, participants/facilitator and meeting rules. (Key point: Components)

3. Which meeting setting is same time but different place?
   A. Decision room
   B. Email and forums
   C. Face-to-face boardroom
   D. Video conference
   Answer: D. Decision room is same time and place; email is different time and place. (Key point: Settings)

4. How does GDSS help organizational learning through records?
   A. Discussions and decisions are stored electronically as organizational memory, allowing review of why decisions were made
   B. Records are deleted after meetings
   C. Only the final vote is remembered by memory
   D. It prevents any review
   Answer: A. Stored records let the organization learn from past decisions and mistakes. (Key point: Organizational memory)

5. How does anonymous input aid learning?
   A. Reduces participation
   B. Encourages honest feedback and new ideas
   C. Hides ideas
   D. Increases groupthink
   Answer: B. Anonymity reduces fear and groupthink. (Key point: Honest feedback)
